Who is Protobase best for?
Owner-operators of established businesses. Real revenue, a real team, decisions that still route through one person to move. A proposal waiting on a signature only they can give. A handoff between teams that stalls until they weigh in. Protobase fits where that pattern is real, and the business is ready to build something that doesn’t depend on it.
What happens on the first call?
We talk plainly about how the business actually runs today, where work stalls, where decisions bottleneck, and where knowledge lives in one person’s head. By the end, we’ll both know whether Discovery is the right next step and what the operational audit would likely focus on first.
What is the lift on my team?
Real at first, then light. Early on we sit down with you and the people who hold how the business works, learn how it actually runs, and review what we capture so it’s right. That’s the heavy part, and it’s where a system worth trusting comes from. Once the foundation is in place, your involvement tapers to a short rhythm while the system does the work.
Where does my data live, and who can see it?
It lives as plain, readable files inside your own accounts, not locked in a system only we can open. Access is scoped by area, so a person only reaches what their role should. Running your system never requires us to be on your computers or see your screen; it happens in your accounts, through changes you can review.
How do you make sure the work meets our standard?
Every skill and every agent is held to a written standard for its role, and its work is measured against that standard before it earns more latitude. Nothing joins the company’s knowledge, and nothing reaches a customer, until a person on your team reviews it and says yes.
What do I own?
You own the roadmap, notes, workflow maps, and artifacts from Discovery, plus every page of context, approved lesson, and output created during implementation. They live as plain files in accounts you control. Your business’s knowledge remains readable and portable, whether you continue with Protobase or not.
What if a tool we use, or the AI itself, changes?
The system is built to outlast any one vendor. Your tools connect through a layer that lets one be swapped for another without rebuilding your system, and the AI model can be changed as better ones arrive. Your knowledge never depends on any of it: it lives as plain files in your own accounts, so whatever changes underneath, what you own stays put.
How fast is this really?
Discovery typically runs three to four weeks. During that engagement, we build the operational audit, the AI roadmap, and a first working version of one workflow worth improving. Production deployment, the broader context library, and the first full skills and agents continue after that.
What does an agent actually do all day?
They hold one job and work a schedule around it. They answer the routine questions the moment they come in, draft the follow-up that would otherwise wait, build the report before anyone asks, and reconcile the small mismatches that pile up. Anything that reaches a customer, they prepare and hold for a person to send. Then they log what they did and move to the next thing.
What changes for my team?
The work that drained the day without ever being the point, the chasing, the copying between tools, the “quick” admin that was never quick, stops landing on them. What’s left is the work they’re actually good at and were hired for. The team doesn’t get smaller. It gets to spend its hours where they count.
How do you keep up with AI so I don’t have to?
That’s our job, not yours. The field moves faster than any owner can track between meetings. We watch it, test what’s worth adopting, and run it inside your system, so your business gets the benefit without you having to become a technologist.
